Processing of personal data

Bergvik Skog’s processing of personal data is in accordance with applicable laws and regulations.

If you have classified personal data, you must provide us with this information in connection with your disclosure of personal data, enabling us to take adequate protective measures in regards to your personal data.

When you send us an email via the website, in matters related to Bergvik Skog’s business, or general inquiries, we need to store your contact details in order to process your inquiry and contact you in response to the matter. The personal data gathered and/or received from you will be used by Bergvik Skog and its affiliated partners Stora Enso Skog AB and BillerudKorsnäs AB. The information is never rented or sold to third parties. The recipient of such information is required to protect the confidentiality and security of the personal data and may not reuse it for any other purpose than what has been instructed by Bergvik Skog.

When you apply for a vacant position with us, applications submitted to us will be available to and processed by Bergvik Skog’s HR and managers directly involved in the recruitment process. Your personal data is handled by a designated person in the HR department. Your personal data is treated confidentially within our organization, and is processed for the recruitment purposes only. Your application documents are stored with us during the recruitment process, and all your personal data will be deleted when the recruitment process is finalized. You are welcome to re-submit a new application when another opportunity becomes applicable with us again. When an external recruitment company is assisting us in the recruitment process, your application and personal data may be submitted to that third party. The recipient of such information is required to protect the confidentiality and security of the personal data and may not reuse it for any other purpose than what has been instructed by Bergvik Skog.

If you are party in a public consultation process, the comments you provide, including contact details or other personal data, will be registered with us. Any views put forth and opinions from private individuals are unidentified prior to external publication. The information can be provided to our partners in the framework of the consultation process. The information may also be published or publicly disclosed in accordance with applicable laws, as a result of  the documents being submitted to a public authority and hence, not subject to confidentiality.
When you enter into an agreement with us, we will store the personal data you provide in a data register. We use the personal data exclusively for the administration of the agreement and for the purpose of fulfilling our commitments to you. For updates of personal data and in order to keep our records accurate, data may be retrieved from public records.

Processing of personal data under Bergvik Skog’s Whistleblower function

The purpose of processing personal data in the Whistleblower function is to register and assess information disclosed by the Whistleblower, in order to investigate potential criminal acts such as corruption or other serious irregularities. The personal data we process is the information disclosed and the additional information that may be collected in order to conduct an appropriate investigation. The information may include, (among other things), the name, position and report of gross misconduct and/or criminal offense. Bergvik Skog has restricted the access to data in the Whistleblower function to only one designated person within the company, who reports directly to the Board of Directors of Bergvik Skog. This person acts under discretion and will not, without the explicit consent of the Whistleblower, register any personal data, of which nature they may be, attributable to the Whistleblower in an ongoing case. Only data necessary for investigation and assessment in an ongoing case are collected and processed. Upon completion of the case, all personal data that Bergvik Skog does not have a legal obligation to save is deleted.

How long do we save your personal data?

We keep your personal data for as long as necessary with regard to the purpose of the treatment, such as fulfillment of entered agreements, to respond to a query or to fulfill statutory obligations. If you have given us your consent to processing personal data, you may at any time withdraw your consent. Note that a revocation of consent does not affect the processing that may be done legally without consent or processing mandated by statutory obligations.

Register extracts and corrections of personal data

You have a legal right to be informed of what personal data we have registered about you and how we treat that information. You also have the right to request a correction regarding personal data that we are processing about you. By sending a personally signed letter to Bergvik Skog AB, stating your full name, civic identification number and registered physical address (sv. folkbokföringsadress), you may once a year demand, free of charge, information from Bergvik Skog regarding which personal data we process related to you and why. Bergvik Skog will only send extracts to your physical address, as registered by the Swedish tax authority.

In the event of repeated or unfounded requests for extracts or rectification from the same individual, we are entitled to either charge an administrative fee or refrain from accepting the request. Application for registry extract or request for correction is sent to Bergvik Skog AB, Data Protection Officer, Trotzgatan 25, 791 71 FALUN.
